Job title: Resident Deputy Manager

Reports to: Resident Manager and Management Committee

Purpose of post: To help tenants in the scheme achieve an independent and positive life within a supportive environment. To assist the Resident Manager with the overall management of the Sheltered scheme, including the welfare of the tenants and the general condition of the premises and cover for the Resident Manager in her absence.

1. Policies and Procedures.

  1. To act at all times in accordance with Pinner House Policies and procedures.
  2. To ensure compliance with the Associations Health and Safety, Equal opportunities and Diversity Policies
  3. Pinner House Society Limited operates a strict no smoking policy in all public areas.
  4. Ensure Pinner House’s requirements in respect of the Data Protection Act, are complied with and full confidentiality is maintained at all times.


2. Provision of support to residents

  1. Ensure that a consistently high service is provided to the residents at all times
  2. Make daily contact with all residents, either personally or through the call system when on duty
  3. To respond to the door entry system, emergency call system and fire alarm and take appropriate action to call emergency services and stay with resident until help arrives
  4. Ensure the tenancy conditions are being observed by all residents.
  5. To meet prospective tenants and show them around the building and any empty flats we may have.
  6. To welcome new tenants and assist in carrying out induction to the scheme.
  7. To explain or give assistance at regular intervals to residents in the use of alarm system, fire procedures and any relevant communal facilities, e.g laundry
  8. Look out for signs of need among the residents and liaise with support services or advice residents might require.
  9. Liaise with doctors and hospitals when necessary
  10. Notify the next of kin during periods of illness


3. Computer Systems

  1. To use appropriate skills in word processing and use of emails for communication with the contractors and committee members as well as writing reports and updating the website as required
  2. To follow good computer housekeeping practices in relation to back-up procedures and filing of reports and documents.
  3. To ensure that high levels of discretion and appropriate data protection is always complied with.


4. Building

  1. To liaise over building maintenance and arrange access as required, calling in immediate assistance for breakdowns of key services such as lifts and heating and resident alarm system.
  2. To check the electricity and gas bill readings are correct for the scheme and sometimes help residents read their meters.
  3. To assist in the supervision of the cleaning of communal areas and the maintenance of garden
  4. To ensure appropriate disposal of refuse and promote recycling
  5. To check the furniture and fittings are fit for use.
  6. To organise the preparation and booking of the guest room and collection the charge.
  7. To ensure the general security of the building including testing the fire alarm weekly, monthly , quarterly and annually.


5. General

  1. To attend regular team meetings and all mandatory training sessions
  2. To perform duties commensurate with your responsibilities of the role and ad hoc projects required from time to time
  3. To promote Pinner House in a positive and professional manner at all times.
  4. To prepare and present written reports when asked by the resident manager.
  5. To assist in the administration work in relation to the above duties, including filing and correspondence.
  6. To provide cover for other members of staff during holidays, sickness and in other absences and emergencies.


6. Flexibility

Your attention is drawn to the fact that in some cases particular duties and responsibilities are difficult to define and may vary from time to time without changing the general character of the duties the level of responsibilities entailed. In addition it is a requirement of all employees that they accept elements of flexibility in duties and responsibilities and when necessary interchange within the organisation which will meet the changing needs and demands of the service. Such a requirement will enable the particular expertise of the post holder to be developed and maximised to the mutual benefit of both employee and employer.
